NULCA General Meeting

Dear NULCA Member,

Please be advised of the scheduled General Meeting on Tuesday June 16, 2020 via the Zoom video-conferencing platform. NULCA Members are encouraged to carefully read the details provided below.

Registration

Each NULCA member wishing to attend the General Meeting will be required to register for the meeting using the registration link below. Upon registration a link to the meeting will be sent to the email address you provide in the registration. This link can be resent, after registration has been completed, upon request to scott@mbslqld.com.au

Joining the meeting

At the nominated date and time of the meeting, members may click on the link to the meeting which was sent to you after registering.
Instructions on joining a meeting and testing your computer audio (the only audio option provided for this meeting) is available here.
Your web browser client will automatically download Zoom when you start or join your first Zoom meeting. It is also available for manual download here.

Testing Video & Audio

You can test your internet connection prior to the meeting by joining a test meeting here. NULCA members who have not previously used Zoom are encouraged to join a test meeting well in advance of the Annual General Meeting as we are unable to provide individual technology support during the meeting.

Waiting Room

Should you join the meeting prior to 5:00 pm on 16 June 2020 you will be directed to a virtual waiting room until the meeting commences. Upon entering the meeting both your microphone and video will show as mute/off. NULCA members are encouraged to use the in-meeting chat initially to raise any items in order to avoid multiple members speaking at the same time.

General Meeting Protocols

The following protocols will apply for the NULCA General Meeting:

  1. A recording and only one recording (by the Secretary) shall be taken during the meeting.
    This is for the purposes of ensuring the minutes reflect the outcomes.
  2. As much as possible participants will attempt to find a location to be involved in the virtual meeting that is free of distractions.
  3. When a participant is not speaking, they shall mute their microphone in the application being used.
  4. Only one participant should speak at any time. If needed the Chair will moderate the discussion.
  5. As much as possible every participant will be “present” in the meeting. However, it is recognised some multi-tasking is appropriate.
